Department Summary

The College of Social and Behavioral Sciences (CSBS) offers programs that explore a wide range of human issues. It is dedicated to the growth and support of undergraduate and graduate education, research, public service, and professional development. We believe a degree in one of our academic programs will provide students with the professional integrity and knowledge to communicate effectively across disciplines and cultures. We offer students the breadth of a traditional and innovative education in the social sciences while preparing them for a wide range of professions, for graduate school, and for advanced professional study in fields such as law, clinical psychology, and economics. In fact, the College is home to 14 academic different departments and programs. Our faculty and staff are student-centered and are dedicated to providing friendly, personal guidance, and mentoring to our students.

Job Summary

The Administrative Support Coordinator exists to provide support to the Administrative Analyst / Specialist for the College of Social and Behavioral Sciences (CSBS) related to budgetary issues and workload issues within CSBS.

Responsibilities include but are not limited to:

  • Supports college AAS III with PeopleSoft Temp Faculty and Workforce Administrative issues. Assist with staff hiring paperwork and interview setups. Helps input Temp Fac and Teaching Assistants contracts for the term, enters ISA’s, and GA’s into OnBase system.
  • Inputs and track faculty workload.
  • Reconcile the Faculty Term Files as required by Academic Scheduling. Update all promotions in PeopleSoft system and verify correct rank.
  • Assist with training of College ASCs on the FAD process, procedures and guidelines to conform with the Chancellors office rules and regulations.
  • Assist with entering Faculty into new Faculty Additional Pay system, help track time, pay and dates entered in the system. Process FAP reports for College Dean and Faculty Affairs for payroll. Assist college AAS III with entering FAP into JobData.
  • Budgeting and reconciliation of State, lottery, IRP, Trust and Foundation accounts within the college.
  • Prepare, record and track budget transfers to and from college. Prepare paperwork for hospitality reimbursements and check disbursements. Prepare submit and track Transfer of Expenses and Invoices. Monitor all release time budgets and help ensure the college receives all funds owed.
  • Assists with purchases using Requisitions or Procard, reconciling reports.
  • Provide support to front office and College Associate and Assistant Dean’s when needed. Assist College with special events, graduation and other duties assigned.


Employment Status: Full-time, Probationary, "Non-Exempt", position.

Work Schedule

Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.

  • Excellent communication and interpersonal skills (including being a good listener) to interact and communicate effectively with faculty, staff, students, and external constituencies, both verbally and in writing.
  • Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act
    when precedents do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
  • Strong negotiating skills to settle issues and maintain harmony in the team.
  • Ability to manage multiple projects independently in a fast-paced organization with competing priorities and distractions.
  • Ability to build effective teams through goal setting, defining responsibilities, empowering team members, providing feedback, and adhering to deadlines.
  • Ability to use high-level discretion and maintain a high level of confidentiality in handling problems of a sensitive nature and security of confidential records.
  • Working knowledge of applicable state and federal employment and education laws and regulations.
  • Working knowledge of and ability to operate standard office equipment and technology including, but not limited to, desktop computer, laptop, copier, fax machine, scanner, and printer.
  • Demonstrated proficiency in ability to effectively use common computer and technology programs and related computer software packages (e.g., Microsoft Office Suite, Zoom, etc.) in the course of assigned duties.


Education and Experience

  • High School diploma or its equivalent AND five years of progressively responsible experience in general office clerical or secretarial work or the equivalent.

Preferred Qualifications

  • Bachelor's degree in business with a concentration in finance or accounting.
  • Three (3) years of related budgetary experience.
  • Advanced use and experience with MS Excel creating complex spreadsheets for large data sets.
  • Experience with the creation of ad hoc data queries and analysis.


Anticipated Hiring Range: $3,681 - $4,500 per month

Classification Salary Range: $3,681 - $6,034 per month
