Job Summary:

Reporting directly to the University Registrar, the Associate Registrar is responsible for overseeing daily operations, directing and providing guidance in the planning, coordination, and assignment of tasks to the Records & Registration and Degree Audit teams.

Responsibilities:

  • Manage the daily operations of the Records and Registration and Degree Audit units, ensuring efficient workflows and timely completion of assignments.
  • Supervise professional and support staff by assigning work, setting priorities, conducting performance evaluations, approving timesheets, and addressing day-to-day personnel matters.
  • Exercise supervisory authority to hire, promote, reward, recommend disciplinary actions, and support personnel actions in accordance with CSU policies and HEERA provisions.
  • Align staffing resources with operational needs to support organizational planning and achieve service delivery goals.
  • Oversee enhancements to the PeopleSoft Student Records and Enrollment modules by testing system updates, documenting processes, and ensuring successful implementation.
  • Develop and maintain unit procedures and documentation to ensure operational consistency, compliance, and business continuity.
  • Troubleshoot functional and system issues while collaborating with campus partners and end users to support seamless integration of academic systems.
  • Manage batch term setup activities in PeopleSoft to support enrollment functions, including term activation, registration holds, waitlisting, and discontinuation processes.
  • Ensure data integrity and alignment across Admissions, Financial Aid, Student Financials, and Curriculum Management.
  • Process and document student conduct outcomes and academic exceptions in collaboration with Student Conduct and Academic Affairs.
  • Oversee the maintenance of academic records for specialized student populations, including ITEP students and those with special enrollments or credential transitions.
  • Investigate and resolve duplicate student ID records while maintaining the accuracy of deceased student records.
  • Perform other duties and special projects as assigned in support of the Office of the Registrar's operational and strategic priorities.
  • Provide operational coverage and cross-functional support to ensure continuity of services and successful completion of departmental initiatives.
  • Assist with special assignments and process improvement efforts to enhance operational efficiency and service delivery.
  • Support departmental goals by contributing to Registrar initiatives and responding to evolving business needs as assigned by leadership.

Minimum Qualifications:

  • Bachelor’s degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs plus four years related experience.

Required Qualifications:

  • Extensive knowledge of applicable laws, regulations, policies, and best practices related to complex administrative programs and specialized functional areas.
  • Advanced expertise in public and business administration, operational management, fiscal oversight, and organizational planning.
  • Strong analytical skills with experience in systems analysis, research methodologies, survey techniques, statistical analysis, and policy evaluation to support data-driven decision-making.
  • Ability to assess complex issues from a broad organizational perspective and develop strategic, innovative, and effective solutions.
  • Demonstrated ability to build collaborative relationships with internal and external stakeholders while managing sensitive and confidential matters with professionalism and discretion.
  • Excellent written, verbal, and presentation skills with the ability to facilitate discussions, provide consultation, and build consensus among diverse constituent groups.

Preferred Qualifications:

  • Working knowledge of administrative theories, principles, practices, and techniques, with the ability to apply them to develop sound conclusions and recommendations.
  • Thorough knowledge of applicable policies, procedures, regulations, and operational and fiscal analysis techniques.
  • Demonstrated ability to take initiative, prioritize work, and effectively plan, organize, coordinate, and manage multiple competing priorities.
  • Strong research, analytical, and policy evaluation skills, including the ability to collect, interpret, and analyze data to support informed decision-making and program improvements.
  • Expertise in investigating and resolving complex operational issues with broad organizational impact.
  • Excellent written, verbal, and presentation skills, with the ability to communicate complex information clearly to diverse audiences.
  • Ability to train, mentor, and provide work direction to staff while supporting professional development and continuous improvement.
  • Demonstrated expertise leading high-impact operational processes across the full student lifecycle.
  • Advanced functional expertise in PeopleSoft Campus Solutions, gained through more than ten years of progressively responsible experience supporting student records and enrollment operations.

Compensation and Benefits:

The salary offered will take into account internal equity and experience among other factors.

The anticipated hiring range for this position is $4,135-$12,228 per month

Position Information:

Work status: Full-time/Exempt/At-will

Academic year schedule: Monday through Friday (8:00 am – 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.           

This is a full-time management (MPP) position.  MPP employees serve at the will of the campus President.  MPPs do not serve a probationary period and never receive permanent status.

This position is a "designated position" in the California State University's Conflict of Interest Code. The scope of responsibilities for this position includes making or participating in decisions that may have a material financial benefit to the incumbent. Therefore, the individual holding this position is required to file an initial Conflict of Interest: Statement of Economic Interests ("Form 700") within thirty (30 days) from the date of hire and on an annual basis. In addition, the individual holding this position must complete the required conflict of interest training within thirty (30) days of their appointment and at least once during each consecutive period of two calendar years following the appointment, subject to the Fair Political Practices Commission regulations.

First considerations will be given to candidates who apply by Tuesday July 28, 2026 and will continue until the position is filled; however, the position may close when an adequate number of qualified applications are received.

Conditions of Employment

Background Check

Satisfactory completion of a background check (including a criminal records check) is required for employment.  CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.  Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

Drivers License Check

Possession of a valid Driver's License is required.  Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

Mandated Reporter

The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
