POSITION PURPOSE: The Mission of Student Health Services (SHS) is to build a healthy campus community by providing quality, caring, cost-effective, accredited ambulatory healthcare and health promotion services. As part of an institution of higher learning, CSUB SHS participates in the educational process by teaching students the skills for self-care, promoting their health, advocating for themselves and preventing diseases, thus enhancing their academic productivity and leading to a satisfying college experience.

Under general supervision of the Director of Student Health Services, the SHS & Health Education Communications Assistant works with the Director and Health Education Coordinator to support Student Health Services (SHS) health promotion and education efforts by coordinating health communication, outreach, and wellness resource programs that enhance student knowledge, attitudes, and behaviors related to personal and community health. The position develops and maintains health education materials, digital and print marketing content, and social media campaigns to increase awareness of SHS services and health topics. The incumbent assists in planning and implementing health education events and outreach activities and manages the Wellness Vending Machine program as an accessible health promotion resource for students. Responsibilities also include tracking engagement data, monitoring resource utilization, and preparing reports to inform program evaluation and planning. The SHS & Health Education Communications Assistant performs related administrative tasks in support of SHS health education initiatives and departmental operations, ensuring that all communications and activities reflect SHS standards, accessibility guidelines, and institutional goals for student wellness.

DUTIES & RESPONSIBILITIES:

Clinic Marketing & Patient Education Materials

  1. Create and maintain patient health education materials for health education programs and the clinic using provided information, including flyers, posters, brochures, and digital graphics to inform students of relevant health topics, ensuring compliance with SHS branding and campus accessibility standards. 
  2. Write, direct, edit and distribute short-form video content for health education campaigns on platforms such as Facebook, Instagram, Tik Tok, etc. Collaborate with SHS interns on content design.
  3. Design and schedule social media content to promote health topics, SHS services, and campus campaigns, aligning with national health observances (e.g. awareness days/weeks/months). Create accounts on new social media platforms as needed.
  4. Support campus groups/departments by advertising their campaigns on SHS social media pages with an emphasis on campaigns that address diversity and “social norms”.
  5. Create and maintain marketing materials for outreach events, clinic services and services on the go, including sandwich boards, bulletin boards, signage, and handouts as directed. Utilize university-approved communication channels to promote SHS outreach activities and serve as a member of the Campus Communicators group.
  6. Regularly update SHS marketing displays, bulletin boards, maps, building signage, and other posted information to ensure accuracy and accreditation compliance.
  7. Maintain and periodically update the SHS website, in coordination with the Director, to ensure content is accurate, relevant, and accessible.
  8. Track and report social media analytics (e.g., reach, engagement, saves, shares) to assess campaign effectiveness.

Management of Wellness Vending Machine & Clinical Supplies

  1. Coordinate and manage the Wellness Vending Machine program as a health education outreach tool providing students with accessible preventive health resources.
  2. Track, order, receive, package, and stock wellness vending machine supplies using designated software and systems. Collaborate with clinical staff to ensure supply levels meet patient care needs.
  3. Monitor and analyze utilization data and inventory trends to assist with evaluating student engagement, maintain adequate stock levels, and prepare periodic reports to inform health education and wellness resource planning.
  4. Troubleshoot issues such as dispensing errors adjusting stocking levels as needed.
  5. Serve as a point of contact for the Wellness Vending Machine, coordinating with IDS Vending and IQ Technology vendors and CSUB IT to ensure proper operation.
  6. Attend vendor or software training sessions as needed to remain current on inventory processes.
  7. Train SHS staff and interns to assist with inventory preparation, stocking, and vending machine troubleshooting.

Education Outreach & Support

  1. Assist in planning and facilitating SHS outreach activities, such as health fairs, tabling events, orientations, open houses, and virtual programs.
  2. Maintain, prepare, and organize event materials, including resource packets, table layouts, passports, and other engagement tools for events.
  3. Provide logistical support during outreach events, including set-up, facilitation, and break-down.
  4. Represent SHS at resource fairs and orientations to educate students about available health services.

Administrative Support & Clerical Duties

  1. Process ProCard purchases and reconcile monthly statements.
  2. Coordinate print shop requests and track order status.
  3. Coordinate SHS audio resources (e.g., playlists) by updating, troubleshooting, and ensuring proper function during in-house and outreach events.
  4. Assist with HEAL Hub and SHS conference room operations, including basic technology troubleshooting, set-up, and upkeep.
  5. Serve as back-up in providing administrative support for SHS meetings, including preparing agendas, recording minutes, and distributing notes.
  6. Serve as back-up for front desk coverage during lunch.

REQUIRED QUALIFICATIONS:

EDUCATION & EXPERIENCE – High school diploma or equivalent or combination of education and experience which provides the required knowledge and abilities.

SKILLS, KNOWLEDGE & ABILITIES (SKA’s) –

  • Regular and reliable attendance is required.
  • General knowledge of the techniques for collecting and compiling data, and the means of disseminating educational information to the public through various mass and audio or visual media.
  • Working knowledge of the elements of health education programming.
  • Ability to community effectively with individuals with various interests and from varying cultural and ethnic backgrounds.
  • Ability to prepare and deliver informational talks or lead group discussions using visual and other aids and provide clear, understandable answers to questions which are raised by target group audiences.
  • Ability to conduct interviews or group discussions to obtain data on health habits and needs, observe reactions to questions and record or summarize findings.
  • Ability to conduct research using a variety of sources to develop and prepare educational materials.
  • Ability to draft simple staff reports and articles for publication in newsletters and bulletins.
  • Ability to establish and maintain effective working relationships with peers, target segments of the student community and representatives of the news media.
  • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
  • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner.
  • Thorough knowledge of English grammar, spelling, and punctuation.
  • Ability to interpret, communicate and apply policies and procedures.
  • Ability to maintain a high degree of confidentiality.
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
  • Working knowledge of or ability to quickly learn University infrastructure.
  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.

PREFERRED QUALIFICATIONS:

  • Marketing experience to include Instagram and Tik Tok.
  • Experience in creating educational materials using Canva and other software.
  • Experience with managing and coordinating inventory and vending machines.
  • Demonstrated skills in an institutional/educational environment possessing a customer-oriented and service-centered attitude.

PHYSICAL DEMANDS: LIGHT WORK – involves mainly sitting, up to 25% standing or walking; lifting medium weight objects limited to 25 pounds.
