Job Summary
The Prospect Portfolio Specialist is responsible for proactive prospect identification, system updates, and prospect management updates to include contact report review, prospect record updates, and proposal tracking. The incumbent also is responsible for researching, analyzing data, collecting, and compiling background materials, data-mining reports and focused research on friends, parents, alumni and potential contributors to California State University, Long Beach.
Key Responsibilities
- Responsible for providing prospect updates for moves management. Duties include monitoring contact reports for solicitations, maintaining proposal activity, meeting with DoDs for portfolio reviews and updating prospect assignments.
- Compile background materials, focused research (full biographies, donor profiles, data-mining reports/inquiries, and summary paragraphs, etc.) and analyze data for alumni, friends and prospects of the university to identify pipeline.
- Gather and input prospect information as it relates to event attendance, subscription based database tools, and other relevant engagement efforts (i.e, email, surveys, and other related outreach).

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.
- Hiring Range: The hiring range for this position is $5,274 (Step #1) - $6,303(Step #10) per month commensurate with candidate's education, experience, skills, and training.
- CSU Classification Salary Range: The CSU Classification Salary Range for this position is $5,274 (Step 1) - $7,684 (Step #20) per month.

Knowledge, Skills, and Abilities
Familiarity with biographic and financial research techniques using both printed and on-line sources. Preferred knowledge and understanding of SEC documents. Computer literacy, preferably with MS Word, MS Excel, and MS Access. Proficiency in Microsoft Excel, including pivot tables, sorting, filtering, and ranking for prospect qualification and list development. Familiarity with computerized fundraising record systems, preferably Ellucian Advance Web platform. Communicates with the University community in a civil manner. Proficiency in writing clear, concise, and informative research profiles, reports, and summaries tailored to various audiences. Ability to manage multiple projects simultaneously, ensuring deadlines are met and tasks are prioritized effectively. Strong attention to detail in researching, documenting, and managing data to ensure accuracy and reliability.
Skilled in identifying issues, analyzing potential solutions, and implementing effective strategies to address challenges in prospect research and management. Ability to handle sensitive information with discretion and maintain confidentiality in all aspects of prospect research and data management. Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."
Education and Experience
•Equivalent to a bachelor’s degree in Business Administration, Communications, Public Administration, or Data Analytics, or a related field; and minimum two years of experience working with database or CRM systems to maintain records, extract data, and generate reports required.
• Experience in advancement, prospect research, or donor database/CRM systems within higher education, healthcare, or mission-driven organizations is preferred.
