Job Summary:

Provides frontline student account support and cashiering services by delivering excellent customer service and assisting students, faculty, and staff with routine inquiries and payments in person and through approved virtual platforms, while maintaining strict confidentiality in accordance with University policies and FERPA. Independently processes, records, and accurately posts cashiering transactions to student accounts and the general ledger, ensuring compliance with CSU policies, internal controls, and established accounting practices. Compiles and generates routine financial reports, maintains tracking tools and audit-ready records, and resolves discrepancies to support accurate financial operations. Communicates and helps disseminate established university policies and procedures, supports orientations and related events, and performs other duties as assigned to support departmental operations.

 

Responsibilities:

  • Provides student account support by assisting with payments in person and through approved virtual platforms.
  • Responds to routine inquiries via telephone, Zoom, email, and in-person interactions in a timely and professional manner.
  • Explains routine account issues and provides forms, instructions, and accurate information regarding student account processes.
  • Maintains confidentiality of student records in accordance with University policies and FERPA requirements.
  • Addresses routine questions and refers to more complex issues as appropriate.
  • Processes and records financial transactions in accordance with CSU policies, procedures, and established accounting practices.
  • Processes deposits and vendor payments; prepares and verifies daily deposits for accuracy and compliance.
  • Maintains and reconciles check logs and processes credit card refunds within required timeframes.
  • Reviews financial documents for accuracy, completeness, and proper authorization; assigns transaction codes and posts data to journals, registers, and ledgers.
  • Prepares correcting entries and reconciles assigned accounts to ensure accuracy of financial records.
  • Provides backup support during absences or peak workload periods.
  • Participates in orientations and campus events related to student account services.
  • Compiles, verifies, and summarizes financial data to support routine reporting and operational needs.
  • Reviews system-generated reports for accuracy and makes corrections as needed.
  • Creates and maintains spreadsheets and tracking tools for financial activity and reconciliations.
  • Maintains organized financial records to support audit readiness and compliance requirements.
  • Communicates established University policies and procedures related to student accounts and financial transactions.
  • Provides clarification within defined guidelines and composes routine correspondence related to financial matters.
  • Assists with updating procedural documentation based on established practices.
  • Participates in testing financial system updates by validating transaction processing and report accuracy.
  • Performs special assignments and other related duties to support departmental operations in alignment with the Accounting Technician II classification.

 

Minimum Qualifications:

Equivalent to three years of progressively responsible financial record-keeping experience which has provided the above knowledge and abilities. Any equivalent combination of education and experience which provides the required knowledge and abilities.

 

Required Qualifications:

• In addition to the Accounting Technician I abilities, must be able to apply accounting procedures and practices to the analysis of basic accounting problems.
• Analyze and interpret accounting data.
• Apply problem solving techniques in finding solutions to basic accounting problems.
• Understand and apply applicable rules, regulations, policies, and procedures.
• Use current computer word processing and spreadsheet software programs, web browsers, query tools, integrated financial systems and/or other types of records management systems, such as student accounting, cashiering and student financial aid.
• Work independently.
• Make sound decisions and recommendations regarding accounting activities.

Preferred Qualifications:

• High School Diploma, GED, or equivalent, with at least two years of experience in customer service, cashiering, accounting support, or a related administrative role.
• Understanding of general accounting concepts, including basic accounting and cashiering principles.
• Strong customer service and communication skills, with the ability to clearly explain routine account and payment information to students.
• Demonstrated attention to detail and accuracy in handling financial transactions, with the ability to maintain confidentiality and comply with FERPA and institutional policies.
• Proficiency with office software, databases, and financial systems, including Microsoft Office (Word, Excel, Outlook), ERP systems (general ledger module), PeopleSoft, and Cashnet/Transact Payments.
• Ability to prioritize tasks, work independently under general supervision, and collaborate effectively in a team environment.
• Previous experience in a higher education or student accounts environment.

 

Compensation and Benefits:

The salary offered will take into account internal equity and experience among other factors.

Initial salary step placement will be Step 1 - $4,037 per month for qualified candidates.

CSU Classification Salary Step Range: $4,037 - $5,881 per month (Step 1 – Step 20)

Position Information:

Work status: Full-time / Non-Exempt / Probationary

Academic year schedule: Monday through Friday (8:00 am – 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

Background Check

Satisfactory completion of a background check (including a criminal records check) is required for employment.  CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.  Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

 

Drivers License Check

Possession of a valid Driver's License is required.  Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

 

Mandated Reporter

The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
