Classification Salary Range: $4,367 - $6,362 per month

The anticipated hiring range for this position is $4,543 (step 2) - $4,727 (step 5) per month.

The final salary is dependent upon qualifications and experience.

Position Summary:

Under general supervision of the Assistant Director of Operations and Recreation Programs, the HWRC Scheduling and Events Coordinator coordinates facility reservations, event operations, and student operations support for the Health, Wellness & Recreation Center (HWRC). This role supports effective scheduling, customer service, risk management practices, and day-to-day operational functions  across recreation facilities.

The position supports the implementation of an integrated model of health and wellbeing, contributes to  student development initiatives, and  assists with  revenue-generating programming within the Health, Wellness & Recreation Center (HWRC), opening in 2026.

This position provides lead work direction to student assistant staff to support daily and service  delivery. In collaboration with departmental staff, the Scheduling and Events Coordinator supports a well-coordinated, welcoming, and student-centered, environment within the HWRC.

This position requires flexible schedule as events dictate including some weekends and evenings.

Key Responsibilities:

  • Coordinate internal and external facility reservations.
  • Coordinate event logistics including setup, tear down, staffing, equipment needs, custodial coordination, and event communications.
  • Prepare and process facility rental agreements and serve as primary communicator with vendors, potential vendors, and community partners.
  • Support the planning and delivery of departmental special events, student engagement initiatives, and community programming.
  • Assist with gathering data and feedback related to programs and events. Support Center’s spaces through day-to-day operational coordination.

Minimum Qualifications:

  • High school program or its equivalent and four (4) years of general office experience

Knowledge, Skills, and Abilities:

  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software packages, technology, and systems. 
  • Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.

Preferred Qualifications:

  • Preferred to hold valid driver's license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program.
  • Preferred CPR-AED Instructor certification
  • Preferred knowledge in Recreation Management Software "Fusion" and “Connet2”.
  • Preferred student leadership or supervision experience.
  • Preferred 2 years experience working in a collegiate/community recreation environment (or equivalent).
  • Preferred Bachelor's degree.
  • Required CPR/AED/First Aid Certification (or willing to obtain)..
