Overview: The Associate Director of Capital Projects and Administrative Projects is responsible for managing capital projects and leading administrative initiatives from planning through completion. This position serves as a hands-on project manager who will also have a role in leading and/or supporting organizational initiatives. The Associate Director will be responsible for tenant improvements, budget management and procurement. When/if TUC management deems appropriate, other administrative projects, procedures and on-going responsibilities will be assigned related to the overall effective management of TUC’s facilities and housing portfolio.
Duties and Responsibilities (other duties as assigned):
• Establish project objectives, scope, schedules, milestones and deliverables.
• Manage capital construction, renovation, repair, and facilities-related projects from initiation through closeout.
• Lead administrative projects and operational initiatives that support organizational goals.
• Plan and construction document review.
• Coordinate and facilitate meetings with vendors, contractors, consultants, architects, engineers, and internal staff.
• Serve as the organization’s on-site project representative and inspector for construction projects.
• Monitor construction progress, workmanship, safety, compliance, and adherence to approved plans and specifications.
• Identify project risks, delays, change orders, and issues; develop solutions and escalate concerns as appropriate.
• Track project budgets, invoices, expenditures, purchase orders, commitments, and remaining balances.
• Maintain accurate project files, contracts, permits, schedules, inspection reports, and closeout documentation.
• Coordinate project communications and ensure timely follow-up on action items.
• Support procurement activities, contractor selection, bid processes, and contract administration.
• Collaborate with facilities, finance, operations, leadership, and other departments to ensure successful project delivery.
• Verify completion of work, coordinate punch-list activities, and support final acceptance and project closeout.
• Coordination of property handoffs following construction.
• Tenant improvement projects.
• Perform other duties and administrative project responsibilities as assigned.
Qualifications Preferred:
•Bachelor’s degree in construction management, project management, business administration, facilities management, engineering, or a related field.
• Experience managing projects in an institutional, educational, healthcare, governmental, or corporate environment.
• Project management certification, such as PMP, CAPM, or equivalent.
• Experience with capital project management systems, budgeting systems, or facilities management platforms.
Required Knowledge, Specialized Skills, and Abilities:
• Strong organizational, communication, negotiation, and problem-solving skills.
• Ability to manage multiple projects and priorities in a fast-paced environment.
• Proficiency with Microsoft Office Suite and project management or financial tracking systems.
• Ability to work independently while maintaining strong collaboration with internal and external partners.
Pay, Benefits, & Work Schedule
This position is employed through The University Corporation (TUC).
The anticipated hiring range: $100,000 - $108,000 Salary
Time Base: Full Time
