Job Summary:

This position will collaborate on program compliance and attestations/onboarding documents. Coordinate program admissions. Support program leadership with data for accreditation and BRN reports. Maintain databases for program outcomes, faculty outcomes, student outcomes, student rosters, progression, retention, completion, employment rates, maintain NCLEX stats file.

 

SB and PDC Campus Nursing Program Admissions Process – support admissions process. Review application information, check for correct data entry. Collaborate with other departments. Present data to APR for admissions decisions. Send admission decision notifications to students. Clinical Compliance – Facilitate and monitor student compliance and clinical attestations/onboarding documents. Duties will include initial organization of all data and spreadsheet. New students – update all info after orientation. Existing students – update spreadsheet and files daily. Faculty- update spreadsheet and files when they are first hired; update spreadsheet and files every year, thereafter.

 

Accreditation and Regulatory Support – support program leadership in preparing graduate and certifications. Support program leadership with data for accreditation and BRN reports. Outcome Database - Maintain database – program outcomes, faculty outcomes, student outcomes, student rosters, progression, retention, completion, employment rates, maintain NCLEX stats file. Assist ASC II with department projects and reports as needed. Grant work – support faculty in creation and maintenance of surveys. Student list serv – (nursingstudents@csusb.edu) – Keep listserv current, Remove graduating class twice a year, input new students twice a year. Maintain alumni listservs. Preceptor list – update and maintain preceptor profiles. BRN Public Health Certification Processing – verify student information in PeopleSoft and fill out public health certification, obtain the department chair signature, take to Records for official school seal. Make a copy for student record and call student to come pick up finished document.

 

Nursing Department Support: Incumbent will be responsible to work independently, including steps of planning, executing, initiating, coordinating implementing, and evaluating outcomes. Incumbent will have detailed knowledge of university, College of Natural Sciences, and Department of Nursing infrastructure, policies, and procedures. Independently handle multiple work unit priorities and projects and / or grants. Support department committees (take minutes, assist committee chair with agenda, assist with follow through of agenda motions and actions, distribution of information as needed). Assist with faculty orientation (schedule room, handouts and food, if applicable), Faculty events (schedule room, handouts and food, if applicable), and Faculty meetings (schedule room, handouts and food if applicable). Assist with Department events including, but not limited to, recognition and pinning, dedication to profession, student orientation, community advisories, career fairs. Assist SSP with recruitment needs. Conduct department nursing information sessions. Sign for checks (keep copy). Hand out checks (get signatures). Return undeliverable checks to Bursar’s by the 5th full working day. Request Bursar’s sign for the checks that are dropped off. Maintain signature logs. Ensure end of term deliverables are completed by faculty: grades, agency badges, student evaluations and surveys. Assist with GPA Calculation; Printing certificate awards; Honor cord distribution. Assist alumni with requests as needed. Maintain outcomes. Maintain DON calendar and room reservations, train others as appropriate.

 

General Duties – Manage incoming inquiries, student registration, student permits, remove nursing holds, assist students, assist with phone calls, process student forms, request parking passes for guests.

 

Support to the ASC II - Prepare requisitions, assist with travel claims, office supply ordering, submit department printing requests, submit facility work orders, and budget reports.

 

Minimum Qualifications

High School diploma or its equivalent AND three years of progressively responsible experience in general office clerical or secretarial work or the equivalent.

Required Qualifications

Coordination of the clerical and administrative support functions for an academic, special program or administrative office, and/or performance of the full range of secretarial and administrative support functions for an individual administrative head or small to medium-sized group.

•           Assignments and projects are varied and complex with longer work cycles. Administrative support projects often involve coordinating, prioritizing, and monitoring through their completion with accountability for end results and work performed by others.

•           Day-to-day work is performed independently under general supervision. Work is supervised in terms of overall accomplishments. Own priorities and often those of other support staff are regularly set.

•           Common and unique problems are addressed using reasoning and judgment and to develop practical, thorough, and creative solutions.

•           Often involved in planning and coordinating work in the unit and/or providing lead work direction and/or training and assistance to others.

•           Work involves addressing a wide range of problems which requires interpreting policies and procedures and using ingenuity to put information together in new ways.

•           Contacts involve coordinating and working with individuals at all levels within the organization

 

Preferred Qualifications

•           Knowledge of PeopleSoft or similar enterprise-wide application, OnBase, Qualtrics, Google Drive, compliance management system is desirable.

•           Minimum associates degree minimum. 

•           Minimum three (3) years of previous work experience in higher education.

•           Applicants possess skillset to successfully work independently with indirect supervision.

•           Applicants demonstrate initiative in the workplace.

 

Compensation and Benefits:

Anticipated Hiring Range: $3,505 - $3,750 per month

Classification Salary Range: $3,505 - $5,508 per month

Background Check
