Job Summary:
The Orientation Program Coordinator position supports the Director of New Student Orientation and Family Programs in supporting enrollment management goals and objectives by enhancing the experiences of new students at CSUSB. This position involves advising newly admitted students about critical information to aid in the transition into the university. Advising and transition are accomplished by assisting students in understanding academic requirements, registration procedures, and university policies; collaborating with academic departments to ensure new students have access to the resources and support services needed to succeed; designing and implementing orientation programs and activities that foster student engagement and build a sense of community among new students. By applying student development and transition theories, the Orientation Program Coordinator ensures that new students, including first-year and transfer students, receive comprehensive support through Orientation programs. The Orientation Program Coordinator maintains the administrative aspects of these programs and supports the recruitment, training, and supervision of student assistants (Orientation Leaders), ensuring the effective execution of orientation and transition activities. This position plays a vital role in fostering a welcoming and supportive environment for all new students, ensuring they have the tools and resources necessary to thrive at CSUSB. In addition, this position facilitates the Cody the Coyote mascot program.
Duties / Responsibilities:
- Assist in the development and implementation of comprehensive mandatory Orientation programs for newly admitted first-year and transfer students for Spring term.
- In collaboration with the Director, coordinate all advising and logistical aspects of program development, including design, registration system management, student leader staffing, marketing and communication, risk management, and program assessment.
- Incorporate student development and transition theory in designing a thorough orientation program.
- Coordinate academic advising for first-year and transfer students during orientation to ensure successful course registration.
- Coordinate with Student Affairs to engage students with student services that will support sense of belonging and student success.
- Collaborate with the Parent and Family Coordinator to synthesize the planning and execution of the Parent and Family orientation program with the student program.
- Assist the Director in developing assessment strategies and collecting programmatic assessment data.
- Maintain up-to-date files, written reports, and job-related data.
- Assist in recruiting, selecting, and training the Orientation Leader team and front desk student assistants, with an emphasis on skill development and exceptional customer service.
- Provide lead work direction and evaluation input for Orientation Leaders in their job duties and responsibilities.
- Collaborate with the Orientation Senior Program Coordinator to create and co-teach a comprehensive training class for Orientation Leaders, including class preparation, facilitation, and student evaluations.
- Provide lead work direction to student assistants and coordinate student assignments and training.
- Assist in the daily operations and coordination of the front office including, but not limited to, welcoming students, answering phones and assisting students with inquiries.
- Assist in training and providing lead work direction to a graduate assistant, if applicable.
- In collaboration with the Marketing and Communications Office, create marketing materials for orientation programs, including new student handbooks, parent and family handbooks, Orientation Leader training manuals, and coordinated email communications with admissions. Additionally, coordinate Orientation Leader recruitment and promotional items.
- Monitor and maintain the orientation website, ensuring it is updated with accurate and timely information.
- Ensure that social media, email, and print communications for prospective and admitted students are sequential, coordinated, and consistent in message and tone. Maintain and write communications for these audiences and generate content for recruitment platforms, as well as schedule webcasts, online chats, and digital information sessions.
- Collaborate with the university's Office of Strategic Communication team to ensure final graphics and layouts are visually appealing and align with the university's brand.
- Facilitate the Cody the Coyote mascot program.
- Assist with the development of policies and guidelines for the use of the mascot and maintain reservation system with requests and scheduling.
- Assist in the selection, hiring, training, and supervising student assistants to be in mascot costume.
- Establish and maintain close working relationships with other campus offices and departments both in-person and via electronic communication to coordinate inclusive orientation programs.
- Provide thoughtful and dedicated support for other CSUSB transition programming and/or campus-wide events and initiatives as directed.
- Work with academic units, advising centers, and university divisions (Student Affairs, Information Technology, Administration and Finance, and Advancement) to intentionally connect university strategic plans and learning outcomes with orientation program goals and objectives.
- Other classification related duties as assigned.
Minimum Qualifications: Required Education and Experience
- Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master’s degree in a job‑related field may be substituted for one year of the professional experience.
- Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job‑related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year‑for‑year basis.

- Ability to establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts.
- Ability to rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned.
- Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas.
- Valid Drivers License
Preferred Qualifications
- A Master’s degree highly preferred from an accredited university,
- A minimum of one year of relevant experience as a graduate assistant or post-bachelors experience with first year experience / transition / orientation program development, and supervising or advising student staff.
- One year post-master’s university first year experience and/or transition experience preferred.
- An understanding of student development and transition theory.
- Experience with program planning and outcomes assessment and analysis is preferred.
- Experience with budget and resource allocation is preferred.
- Strong experience in First Year Experience and transition programs.
- Knowledge of working at a public institution.
- Ability to establish effective working relationships with staff, students, faculty, parents, and guests.
- Ability to translate student development, leadership theory, and research into practice.
- Ability to advise student groups and facilitate group development.
- Ability to plan and implement programs linked to student learning outcomes.
- Experience maintaining and tracking administrative paperwork.
- Demonstrated ability to work collaboratively with a diverse student and staff population.
- Communicate effectively both verbally and in writing.
- Knowledge of contract development, negotiations and execution.
- Event planning skills including designing, marketing, implementing, and assessing impact.
- Ability to work autonomously and manage multiple tasks simultaneously.
- Ability to analyze situations and develop solutions.
- Experience supervising and evaluating student staff.
- Ability to design and present student staff training and development.
Compensation and Benefits:
Anticipated Hiring Range: $4,841.00 per month
Classification Salary Range: $4,841 - $6,884 per month
The salary offered will take into account internal equity and experience among other factors.
The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year.
