Job Summary:

This position acts as the office coordinator providing lead work direction and organization for daily administrative operations within the College of Social & Behavioral Sciences. Working in close collaboration with academic departments, the office coordinator ensures efficient coordination of administrative support services, fosters a culture of collaboration, and supports faculty, staff, and students in achieving the academic mission of the College.

Responsibilities:

Office Coordination:

  • Coordinates the full scope of project activities from initiation, through execution, implementation and evaluation.
  • Coordinates and assigns entire clerical and administrative support functions for the office and maintains the day-to-day work to serve the academic departments; provides lead work direction to others; and monitors task distribution to ensure equitable and efficient staff support across projects and tasks.
  • Works collaboratively to establish clear workflow processes to ensure consistent, high-quality services within the office. Coordinates with department chairs, program directors, and faculty to anticipate needs, streamline operations, and resolve issues.
  • Assist in identifying training needs and professional development opportunities for administrative staff, applying ingenuity to provide effective guidance and support.
  • Serve as primary liaison between central college administration and academic departments on administrative processes in alignment with university policies.
  • Support implementation of college- and university-wide initiatives within academic units.
  • Maintains and updates internal office systems for tracking budgets, records, and compliance with institutional policies.
  • Foster clear, consistent communication between administrative staff and academic departments.
  • Serve as a resource to resolve problem which may at times require research, analysis, and evaluation of information, ensuring challenges are addressed in a timely and professional manner. May utilize ingenuity to provide solutions or handoff to appropriate personnel.
  • Promote a collaborative and inclusive work environment that values teamwork and service.
  • Identify opportunities to improve administrative processes and recommend changes to enhance efficiency and effectiveness.
  • Support the adoption of new technologies and tools to improve workflow.
  • Assist in recruitment and provide lead work direction for student assistants in the office.

Student Support:

  • Provide comprehensive administrative student support by applying working knowledge of university policies and procedures to respond to questions and directing inquiries to appropriate resources.
  • In collaboration with academic departments, build class schedules and maintain course schedule updates.
  • Maintain department databases related to admissions and enrollment in compliance with university standards.

Faculty Support:

  • Provide clerical and administrative support for department chairs, school directors, faculty, and instructors, inclusive of hiring processes, travel request assistance, and communicating with Office of Faculty Affairs & Development as needed.
  • Maintain calendar for conference rooms and labs.

Budget Support:

  • Monitor departmental and school budgets including operating professional development, University Enterprises Corporation (UEC), Professional and Continuing Education (PaCE), Philanthropic, and other funds. Reconcile internal budget reports. 
  • Proactively monitor and analyze budget and spending to keep department chairs and school directors apprised of budget status and availability of funds.
  • Processes financial forms and follow rules and regulations that govern proper and appropriate use of funds.

Other:

  • Assist with event and hospitality requests.
  • Review department websites and request updates as needed.
  • Order necessary supplies and initiate work orders for areas in need of repair and/or service.
  • Other classification related duties as assigned.

Minimum Qualifications:

  • High School diploma or its equivalent
  • Five years of progressively responsible experience in general office clerical or secretarial work or the equivalent

Required Qualifications:

  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software packages, technology, and systems.
  • Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects

Preferred Qualifications:

  • 3-5 years of progressively responsible administrative or office management experience, preferably in higher education
  • Demonstrated leadership experience in a professional environment
  • Strong organizational, interpersonal, and communication skills
  • Ability to balance multiple priorities, exercise sound judgement, and maintain confidentiality
  • Ingenuity

Compensation and Benefits:

The salary offered will take into account internal equity and experience among other factors.

Initial step placement will be Step 1 $4,367 per month for qualified candidates.

CSU Classification Salary Range: $4,367- $6,362 per month (Step 1 – Step 20).

 

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:

Full-time Non-Exempt Probationary

Academic year schedule: Monday through Friday (8:00 am – 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

Background Check

Satisfactory completion of a background check (including a criminal records check) is required for employment.  CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.  Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
