Job Summary:

Under the general direction of the Director and Parking Manager, the Administrative Support Coordinator II provides journey-level administrative and coordination support for Parking and Transportation Services. The incumbent serves as the lead administrative coordinator for alternative transportation programs, departmental timekeeping and payroll processing, executive administrative support, and compliance-based reporting.

The position exercises judgment in applying established CSU and CSUSB policies and procedures, coordinating complex administrative processes, maintaining official records, managing schedules, supporting departmental initiatives, and serving as a primary point of contact for transportation programs.

Responsibilities:

  • Coordinate outreach and marketing efforts to promote alternative transportation programs, including events, communications, and website updates.
  • Serve as administrative lead for the Alternative Transportation Committee, managing meetings, documentation, membership coordination, and management reporting.
  • Act as Transportation Concierge and primary point of contact for transportation-related inquiries, providing guidance consistent with established policies.
  • Administer carpool, vanpool, and incentive programs, including eligibility verification, vendor coordination, enrollment tracking, and participant communications.
  • Maintain and analyze transportation program data (ridership, EV usage, participation, carbon credits, mobile payments), and prepare required monthly, quarterly, annual, and tax reports.
  • Coordinate required surveys and serve as the department’s Employee Transportation Coordinator (ETC).
  • Provide executive administrative support to the Director, including calendar management, correspondence, travel coordination, expense reporting, and project tracking.
  • Support recruitment, onboarding, and offboarding processes in coordination with ITS, Facilities, Payroll, and Staff Development.
  • Serve as departmental timekeeper, processing and reconciling payroll for full-time, hourly, and student employees in compliance with CSU and campus policies.
  • Provide backup support for parking operations and perform general administrative duties as assigned.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Equivalent to five years of progressively responsible experience in general office clerical or secretarial work or the equivalent.

Required Qualifications:

  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software packages, technology, and systems. 
  • Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.
  • Obtain ETC certification upon hire.

Preferred Qualifications:

  • Advanced knowledge of administrative and office coordination practices.
  • Ability to independently prioritize, organize, and manage multiple deadlines.
  • Ability to apply CSU and campus policies and procedures using sound judgment.
  • Strong written and verbal communication skills.
  • Ability to maintain accurate records and confidential information.
  • Ability to coordinate effectively with staff, students, vendors, and campus partners.
  • Experience providing administrative support in a higher education or public sector environment.
  • Experience coordinating programs, committees, or outreach activities.
  • Experience with payroll or timekeeping systems.
  • Experience maintaining records and preparing compliance-based reports.
  • Proficiency with Microsoft Office and campus administrative systems (e.g., Concur, timekeeping platforms).

Compensation and Benefits:

The salary offered will take into account internal equity and experience among other factors.

Initial salary step placement will be Step 1 ($4,367/month) for qualified candidates.

CSU Classification Salary Step Range: $4,367 - $6,362 per month (Step 1 – Step 20)

Position Information:

Work status: Full-time/Exempt/Non-Exempt/Probationary

Academic year schedule: Monday through Friday (8:00 am – 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

Background Check

Satisfactory completion of a background check (including a criminal records check) is required for employment.  CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.  Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

Drivers License Check

Possession of a valid Driver's License is required.  Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

Mandated Reporter

The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

Campus Security Authority

This position is designated as a Campus Security Authority (CSA) position under the federal Jeanne Cleary Disclosure of Campus Security Policy and Campus Crime Statistics Act. CSAs are responsible for reporting allegations of Clery Act Crimes reported to them or that they witness. CSA training is required.
