Job Summary:

Under direct supervision, the Human Resources Professional serves as a primary point of contact for the Division of Human Resources. Responsibilities include providing front-desk and administrative support, responding to inquiries, routing requests, assisting with onboarding and recruitment activities, maintaining confidential records, entering data, preparing reports, coordinating meetings and events, and training student assistants on basic front-desk duties. The position works collaboratively with employees, applicants, managers, and the public while delivering professional customer service.

Responsibilities:

  • Coordinate onboarding for staff, management, faculty, and student employees using CSU Recruit and Tracker I-9.
  • Review required HR and compliance documents for completeness, accuracy, and timely processing.
  • Assist onboarding portal users, delegates, and applicants with system questions and routine troubleshooting.
  • Schedule virtual and in-person onboarding sessions, prepare invitations, and review completed forms with new employees.
  • Monitor onboarding-related Campus Request Forms through Adobe Sign.
  • Maintain personnel records in accordance with HR recordkeeping requirements.
  • Provide front-office support by responding to calls, emails, and walk-in inquiries and routing complex matters appropriately.
  • Coordinate administrative office functions, including supplies, mail, document distribution, and work orders.
  • Assist departments with employee offboarding and separation-related processes.
  • Process volunteer and third-party system access requests, including verification of background check and Live Scan requirements.
  • Serve as the Absence Management timekeeper and attendance clerk, maintaining leave data and assisting with timekeeping questions.
  • Complete unemployment verification requests and respond to external agency inquiries.
  • Monitor Form I-9 reverifications and notify employees and departments of required actions.
  • Enter and update personnel information in PeopleSoft, including name changes, Person of Interest requests, and educational updates.
  • Route personnel documentation to Payroll and Benefits for processing.
  • Provide backup support for background checks, including document collection and communication with candidates and departments.
  • Assist with student employee transactions in PeopleSoft during peak periods.
  • Support HR projects, events, and initiatives, including New Employee Orientation.
  • Assist the Director with calendar management and special projects.
  • Perform other HR- and classification-related duties as assigned.

Minimum Qualifications:

  • Equivalent to a bachelor’s degree in a related field. Relevant education and/or experience which demonstrates acquired and successfully applied knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.

Required Qualifications:

  • General knowledge of human resources, benefits administration, recruitment, and/or another human resources discipline.
  • Skill in following guidelines and providing input and feedback as required and applicable to regulatory compliance.
  • Strong attention to detail and accuracy
  • Strong communication and interpersonal skills to effectively present information in a diverse environment.
  • Ability to work independently and as part of a team and build relationships with diverse
  • stakeholders.

Preferred Qualifications:

  • Bachelor's degree in Human Resources, or related field.
  • Federal I-9 Verification and Compliance experience.
  • On-Boarding of new employees within an organization.
  • Experience working in Human Resources, higher education environment.
  • Experience in front office work.
  • Fluency in using standard office software packages such as Microsoft Word, Excel, Access, and Outlook.
  • Experience with Applicant Tracking Software (ATS), PeopleSoft or related systems.
  • Demonstrated ability to manage confidential information; exercise good judgment and take initiative as needed; possess excellent organizational and time management skills.
  • Strong critical thinking, analytical, research, problem-solving, and conflict resolution skills.
  • Ability to effectively work with a team.
  • Ability to maintain a high level of confidentiality in the handling and security of confidential records.
  • Working knowledge of applicable state and federal employment and education laws and regulations.
  • Demonstrated proficiency in ability to effectively use common computer and technology programs and related computer software packages (e.g., Microsoft Office Suite, Zoom, etc.) in the course of assigned duties.
  • Excellent interpersonal and communication skills.

Compensation and Benefits:

The salary offered will take into account internal equity and experience among other factors.

Initial salary step placement will be Step 1 - $4,799 per month for qualified candidates.

CSU Classification Salary Step Range: $4,799 - $6,992 per month (Step 1 – Step 20)

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:

Work status: Full-time/Non-Exempt/Probationary

Academic year schedule: Monday through Friday (8:00 am – 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

Conditions of Employment

Background Check

Satisfactory completion of a background check (including a criminal records check) is required for employment.  CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.  Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

Drivers License Check

Possession of a valid Driver's License is required.  Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

Physical Exam

Employment is contingent upon candidate passing a pre-employment physical exam with the ability to lift in excess of 50 lbs.

Mandated Reporter

The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

Campus Security Authority

This position is designated as a Campus Security Authority (CSA) position under the federal Jeanne Cleary Disclosure of Campus Security Policy and Campus Crime Statistics Act. CSAs are responsible for reporting allegations of Clery Act Crimes reported to them or that they witness. CSA training is required.
