Department Summary

The CSUSB College of Education has prepared a broad range of educators for many decades.  Beginning with classroom teachers, to Counselors, school Psychologists, Rehabilitation Counselors, Career Technical Education teachers, Instructional Technology experts and School Site Administrators. The university’s only doctoral program is housed in the College of Education. The broad reach of our programs has led to a significant impact across the Inland Empire region as our teachers, counselors, psychologists and administrators can be found in almost every school site in the Riverside and San Bernardino Counties. Job Summary

The Administrative Support Coordinator I will work in the Department of Teacher Education and Foundations under the general supervision of the Department Chair while working with the department Administrative Support Coordinator II to provide a wide range of administrative support duties to the college, department chair, department faculty and students.

Responsibilities include but are not limited to:

  • Serve as receptionist and take the lead role in answering phones, assisting students, staff, office visitors, and provide appropriate information and/or guidance related to questions and processes handled by the department office.
  • Assist students and faculty with all student forms/processes including but not limited to leave of absence, change of grade, discount of grade, petition to add/drop, waivers, independent studies, course substitutions and grievances. Maintain knowledge on policies and procedures related to these processes.
  • Assist with processing program plans for all Masters programs in the department, working with Records to advance students to candidacy. Evaluate transcripts for comprehensive exam eligibility.  Process thesis project applications as needed.
  • Coordinate ballot process for committees
  • Coordinate faculty recruitment for full time and part time faculty. 
  • Maintain access to People Soft HR to enter part time faculty new hires and graduate assistants as needed.
  • Assist the department chair with the part time hiring process, assignments, entitlements and maintain part time files.
  • Maintain thorough knowledge of the procurement process. Take the lead in coordinating the procurement process for various items as needed by the department and/or programs.  This may be through the requisition process, procurement card or accounts payable processes.
  • Provide support for events outside of regular office hours. These events may include but are not limited to commencement, credential ceremonies, department events and other college events.  These events may take place on evenings and/or weekends.
  • Serve as the back up to the Administrative Support Coordinator II as needed.

 

Employment Status:  Full-time, Probationary, "Non-Exempt" position (with the possibility of converting to permanent).

Key Qualifications

  • Reading and comprehending, writing, communicating verbally, reasoning and analyzing.
  • Experience to be fully functional in all technical aspects of work assignments.
  • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and
    make simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature. 

Education and Experience

  • High school diploma or equivalent AND three years of progressively responsible clerical or administrative experience or the equivalent. 
  • Valid CA drivers’ license and insurance.

Salary

Anticipated Hiring Range: $3,276 - $3,500 per month 

Classification Salary Range:  $3,276 - $5,148 per month
