Job Summary:

Under general direction of the Vice Provost of Academic Affairs, the Program Review and Assessment Logistics Coordinator will perform a variety of program administrative, technical, and analytical duties in the Office of Academic Programs and the Office of the Vice Provost and Accreditation Liaison Officer. This includes complex projects related to accreditation, academic program planning and review, curricular assessment, and strategic planning.

Major duties and responsibilities

The incumbent will be responsible for project logistic coordination for university accreditation and implementation of related projects. They will maintain knowledge of current accreditation documents, policies, and procedures; develop systems for soliciting information from programs that will be needed by accreditors; regularly update records with the institutional accreditor; prepare materials for accreditors’ visitations (e.g., read the self-studies and highlight key points, and note changes that were implemented since the prior review period); research, develop and/or recommend optimal systems and guidelines for facilitating accreditation and related projects; ensure that CSUSB webpages relating to accreditation remain up-to-date.

Coordinate program review by reading relevant sections of the Faculty Administrative Manual; ensuring that the appropriate faculty and staff have permissions to use the Program Review platform; maintain the evolving structure of the Program Review platform to support the self-study, review, and reports; research, develop and/or recommend optimal systems and guidelines for facilitating program review; communicate with relevant parties to answer questions about the program review process; schedule meetings for the University Academic Program Review Committee, Deans, and Vice Provost for Academic Programs when needed; facilitate external reviewer selection, meetings and compensation for services; ensure the timely completion of the program review; ensure that CSUSB webpages relating to program review remain up-to-date.

In collaboration with the Faculty Director of Assessment, develop and disseminate materials to support the annual outcomes assessment efforts in the Division of Academic Affairs and subunits of the division; maintain regular contact with assessment coordinators to provide information/research, training, and assistance as needed; develop and/or recommend optimal systems and guidelines for facilitating program review; ensure that CSUSB webpages relating to curricular assessment remain up-to-date.

Solicit information from Department Chairs, Deans, and relevant software systems to develop the annual Academic Master Plan (AMP); ensure the plan is finalized and ready for timely submission to the Chancellor’s Office each academic year; develop and/or recommend optimal systems and guidelines for creating and finalizing the AMP; ensure that CSUSB webpages relating to the AMP remain up-to-date.

Oversee permissions and train coordinators of subunits in the use of the campus’s Assessment Management System.

Solcit information from Department Chairs, Deans, and relevant software systems to develop the annual Academic Master Plan (AMP); ensure the plan is finalized and ready for timely submission to the Chancellor’s Office; develop and/or recommend optimal systems and guidelines for creating and finalizing the AMP; ensure that CSUSB webpages relating to the AMP remain up-to-date.

Collect and analyze data relating to the institution’s Strategic Plan in both the development and implementation phases; prepare documents and reports during development and implementation to facilitate work and track progress; develop presentations for broad dissemination; manage communications relating to the plan’s development and implementation.

Work with the Vice Provost for Academic Programs, the Provost’s Office, and other campus leaders to develop mid-year and year-end reports for Academic Affairs and the President’s DEI Board.

Minimum Qualifications: Required Education and Experience

  • Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs, PLUS four years of related experience.

 

Required Qualifications

  • Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties, including pertinent laws and regulations.
  • Demonstrated expertise in and advanced knowledge of the principles, problems, and methods of public and business administration and operational and fiscal management.
  • Expertise in administrative survey techniques, operations and systems analysis, statistical and research methods, and the ability to interpret and evaluate results to develop sound conclusions and recommend new or revised policies.
  • Ability to understand problems from a broad, interactive perspective and discern applicable underlying principles to conceive of and develop strategic solutions.
  • Ability to work with representatives from public and private entities and handle potentially sensitive situations.
  • Demonstrated consultative skills in working with internal and external constituent groups.
  • Ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus.

 

Preferred Qualifications

  • Master's degree in related field (i.e., that involved research methods and statistics training)
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved;
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations;
  • Expertise in investigating and analyzing problems with broad administrative impact and implications
  • Ability to anticipate problems and address them effectively
  • Ability to effectively interpret, organize, and present information and ideas in written and presentation/oral form.
  • Ability to train others on new skills and procedures and provide lead work direction.

 

Compensation and Benefits:

Anticipated Hiring Range: $4,170 - $5,550 per month

Classification Salary Range: $4,170 - $7,545 per month

Position Information:

Work status: Full-time/Exempt/Probationary

Academic year schedule: Monday through Friday (8:00 am – 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.
